What should CRM or automation actually improve?
A business may want new CRM because reports are unreliable, staff work from spreadsheets or information is scattered. Those complaints may have different causes. Before choosing software, establish which decision, handover or record needs to work differently.
What is failing: the information, the handover or the decision?
A request for CRM, automation or more reports should specify the work that currently fails and the evidence of an improved result.
Introduce a CRM
Tracking leads, managing installed equipment, coordinating jobs and forecasting revenue require different records, ownership rules and workflows. Document the decisions and events involved before comparing vendor features.
Automate the task
Measure elapsed time and rework across the whole process. Automating one task can increase the queue at the next stage, particularly where exceptions, approvals or missing information still require manual intervention.
Add more management reports
Specify the decisions the reports should support, the measures required and the events that supply them. A reporting layer cannot reconstruct customer events that were never recorded or consistently defined.
Is the rule unclear, or is the software unable to follow it?
Failures may arise from configuration, inconsistent process definitions, missing data capture or a genuine lack of software capability. Each requires a different scope of work.
A customer record cannot replace an equipment register
For each significant requirement, identify the responsible team, the event to record, the expected workflow and a practical test of the finished configuration. Supplier scope can then be assessed against those criteria.
A service business can have an accurate account name and contact details while still lacking a record of which machines are installed, their warranty dates, maintenance history and the parts needed for the next visit. Additional sales pipeline stages do not supply those missing relationships.
The requirements exercise must distinguish accounts, individual assets, service events, contracts and procurement commitments. The decision is then which system owns each record, how updates are made and how staff retrieve the information when they need it.
Anonymised situation from prior professional experience →Do you need a funnel report, a pipeline, or both?
The funnel needs stable entry populations and outcome definitions. The pipeline needs distinct opportunities, stage criteria, owners and next buyer-dependent actions. Choosing a CRM cannot settle those definitions for you.
